Class and Workshop Registration Policy

Hemet Valley Art Association, Inc. (“HVAA,” “we,” “our,” or “us”) offers classes, workshops, and art learning opportunities as part of our nonprofit mission to encourage and support the arts in our community. This Class and Workshop Registration Policy explain the general terms that apply to participation in HVAA classes and workshops.

1. General Information

HVAA class and workshop information is provided through our website, flyers, social media, in-gallery materials, instructors, and other official HVAA communications.

Class schedules, workshop dates, fees, instructors, project descriptions, age ranges, skill levels, materials lists, and enrollment limits may vary by offering.

Specific class or workshop details posted on flyers, registration forms, event pages, or instructor materials are considered part of the applicable terms for that offering.

2. Registration and Enrollment

Registration may be handled through online forms, in-person sign-up, email, phone inquiry, instructor contact, or other methods designated by HVAA.

A submitted interest form, inquiry form, or registration request does not guarantee placement in a class or workshop unless confirmed by HVAA.

Enrollment may be limited based on class size, instructor availability, materials, age group, skill level, or space restrictions.

HVAA reserves the right to accept, decline, waitlist, transfer, or cancel registrations when necessary for administrative, instructional, safety, or operational reasons.

3. Payment

When a class or workshop requires payment, full or partial payment may be required to reserve a spot.

Registration is not considered complete until any required payment has been received and processed.

Fees, supply costs, and other charges may vary by class or workshop and will be communicated in the applicable listing, flyer, registration page, or instructor notice.

4. Cancellations by Participant

If you need to cancel a class or workshop registration, please contact HVAA as soon as possible.

Unless a specific flyer, registration form, or event listing states otherwise, the following general policy applies:

  • Cancellations made sufficiently in advance of the start date may be eligible for a credit or transfer, at HVAA’s discretion

  • Last-minute cancellations or missed classes may not be eligible for refund or credit

  • Material fees or special supply costs already incurred may be nonrefundable

  • Multi-session classes may have separate cancellation terms depending on the instructor or program

If a class or workshop has separate posted cancellation terms, those terms will control.

5. Cancellations or Changes by HVAA

HVAA reserves the right to cancel, reschedule, combine, shorten, postpone, substitute instructors for, or modify any class or workshop.

This may occur due to low enrollment, instructor illness, facility issues, weather, safety concerns, supply issues, or other operational reasons.

If HVAA cancels a paid class or workshop, HVAA may offer a refund, credit, transfer, makeup session, or alternate placement, depending on the circumstances.

6. Attendance and Participation

Participants are expected to arrive on time, follow instructor guidance, treat others respectfully, and use the gallery or classroom space responsibly.

HVAA may remove any participant from a class or workshop, with or without refund, if their conduct is disruptive, unsafe, abusive, threatening, unlawful, or interferes with the experience of others.

Participants are responsible for reviewing any age, experience, or materials requirements before enrolling.

7. Youth Classes and Minors

For children’s or youth classes, registration must be completed by a parent or legal guardian unless HVAA states otherwise.

A parent or guardian is responsible for providing accurate emergency contact information and any relevant participation information requested by HVAA.

Unless specifically stated, HVAA is not responsible for supervision of minors before class begins or after class ends.

Parents or guardians must follow any class-specific drop-off, pickup, attendance, and conduct procedures.

8. Supplies and Materials

Some classes or workshops may include supplies in the registration fee, while others may require participants to bring their own materials.

Any required or recommended supply list may be provided through the class flyer, registration page, instructor, or other HVAA communication.

Participants are responsible for bringing required materials unless the class description states that materials are included.

9. Health, Safety, and Facility Use

Participants must use tools, materials, equipment, and studio space safely and appropriately.

HVAA may establish safety rules for specific classes or workshops, including rules related to shared equipment, cleanup, protective materials, hazardous tools, clay, paints, solvents, or other media.

Participants agree to follow all posted safety instructions and instructor directions.

10. Photography and Promotional Use

HVAA may photograph classes, workshops, student work, or activities for nonprofit, educational, archival, or promotional purposes, including use on the HVAA website, newsletters, social media, and printed materials.

If HVAA wishes to use identifiable images of children, HVAA should obtain permission from a parent or guardian where appropriate.

Anyone who does not want themselves or their child photographed for promotional use should notify HVAA in writing before the class or workshop begins.

11. No Guarantee of Outcome

Participation in an HVAA class or workshop does not guarantee any specific artistic result, skill development, exhibition opportunity, scholarship award, membership benefit, or future placement in other HVAA programs.

12. Liability and Personal Property

Participation in classes and workshops is voluntary.

To the fullest extent permitted by law, participants assume responsibility for their own materials, projects, and personal belongings brought to HVAA premises.

HVAA is not responsible for lost, stolen, or damaged personal items except as required by law.

13. Privacy

Information submitted in connection with class or workshop inquiries and registrations is handled in accordance with HVAA’s Privacy Policy.

14. Changes to This Policy

HVAA may update this Class and Workshop Registration Policy at any time. Updated versions will become effective when posted on the HVAA website or otherwise made available.
